The deal, in plain English.

1. What jobtracker.co.nz is

jobtracker.co.nz is a personal tool for your working life, in three products: Your Job Hunt, for organising your job search (applications, contacts, interviews, dates and money); Your Career, called career mode below, for the job you have once you land it; and Your Timesheets, for the hours you work and, if you invoice, the money that follows. Calculators and AI-assisted drafting sit on top of all three. It's built by the maker of Calculate.co.nz and run from New Zealand. It is your workspace; we're the caretakers, not the owners, of what you put in it.

Who "we" are. jobtracker.co.nz is operated by Crucible Investments Limited, a New Zealand company (company number 9401778, NZBN 9429053412676, GST number 147-904-258). "We", "us" and "our" in these terms mean Crucible Investments Limited. You can reach us at contact@jobtracker.co.nz.

2. The plans and the honour system

• Between Jobs is free while you're genuinely between jobs. It's an honour system: we don't ask for proof, and we ask you not to abuse that. If you're employed and using jobtracker.co.nz to move, the fair thing is a paid plan; that's what keeps the free tier free for people who need it. Logging your hours in Your Timesheets is free for anyone, in work or not, and keeping a free account just for that is fine.
• Career and Timesheets is $4.99 a month billed yearly ($59.88 a year, 28% less than 12 monthly payments of $83.88), or $6.99 month to month, GST included, for somebody in work: career mode, and the paid parts of Your Timesheets (projects and tasks, rates, reports, the CSV and PDF timesheet, invoices, expenses, the tax to set aside and share links). It has the 7-day free trial described under On the Move below, and it is the same trial: one free trial per person and per card, whichever of the two plans it is taken on. It includes 50 AI actions a month, for career mode's drafts (the pay review case, a self-review and a promotion case) and for CV Match, Tailor My CV, the scam check, your top 10 interview questions and the CV Builder's AI tidy, and the optional top-up; the trial includes 6, and the 50 a month start with the first payment; On the Move's job-hunt tools and document storage beyond one CV are not part of it. On the Move includes everything in it, and so does an employer seat.
• On the Move is $7.99 a month billed yearly ($95.88 a year, 20% less than 12 monthly payments of $119.88), or $9.99 month to month, with a 7-day free trial. The trial takes a card when it starts and first charges it when the seven days end, and we email you two days before that charge. There is one free trial per person and per card: a trial started with a card that has already had one is cancelled before anything is charged, and we tell you. The trial includes 6 AI actions; the 50 a month start with the first payment. Most things use 1 AI action; CV Match, Tailor My CV and your top 10 interview questions use 3 each, and Tailor My CV includes scoring the result again; a follow-up, a thank-you note or a referee request uses none. Separately, a fair-use limit on what the AI costs to run for one account pauses the AI for that account until the first of the next month if it is ever reached. Ordinary use of the monthly allowance and any top-ups does not reach it, nothing is charged for it, and everything else keeps working. It includes everything in Career and Timesheets. Prices are in NZ dollars and include GST (GST number 147-904-258).
• Document storage. Between Jobs keeps one CV file, up to 10MB. On the Move keeps up to 10MB of PDF and Word documents, 10MB a file, with earlier versions and attachments to jobs (an account opened on or before 28 September 2026 keeps 100MB until 31 October 2026). Every upload is checked for viruses first, and a file that fails is not kept; a stored file later found to carry one is held until we have looked at it. If a paid plan ends, nothing is deleted: you can still open, download and delete every file, but not add more until you subscribe again. Files are kept on one server in New Zealand, so keep your own copy of anything you could not replace.
• Career mode. When you mark a job accepted you can start career mode: your job and the dates that matter in it, your pay over time, your wins and 1:1 notes, and your whole history kept for the next move. It is part of Career and Timesheets and of On the Move, and is never free. Nothing in it is ever shown to an employer, including one that bought your seat. Its notes about your rights at work are general information about what the law sets out, not legal advice about your situation. Your subscription carries on until you cancel it.
• Renewals and cancelling. A paid plan renews automatically, each month or each year, until you cancel it. Cancel any time, in the app, in under a minute, no phone call, no retention flow; the plan keeps working until the end of the time already paid for. We email you 14 days before each renewal of a yearly plan, with the date and the amount, GST included, so there is time to cancel before you are charged. The first payment on any paid plan can be refunded in full within 14 days of the charge, no questions asked: email us and it is done. If a price changes, we tell subscribers at least 30 days before, and the new price applies from the next renewal after that. If a payment is disputed with your bank, the paid features it paid for are paused until the dispute is settled; nothing is deleted. Founding 100 was an introductory offer, monthly only, and it closed to new subscribers on 4 October 2026. Everybody who already has a Founding 100 place keeps it exactly as it was offered: $3.99 a month for twelve months from the day they subscribed, and then the standard monthly price, $9.99 a month, and we tell them before it moves. It includes everything in Career and Timesheets and in On the Move, with 25 AI actions a month rather than 50.
• Launch codes. A launch code may give new subscribers a discount for a set number of months. What it does, which plans it applies to and until when are shown where it is offered and at checkout, before you pay.
• AI actions are part of On the Move, 50 a month (anybody subscribed before 25 September 2026 keeps 100 a month for their first year), because every one is a real cost to us, and of Career and Timesheets. On Between Jobs every draft is written from our templates instead, and nothing you write is sent to an AI service. A subscriber who uses their monthly AI actions can buy an optional AI top-up ($4.99 one-time, GST included, for 50 more); if a top-up is refunded or its payment disputed, whatever is unused of it is taken back. Nothing stops working when the AI runs out: the drafts come from the templates.
• Employer seats. An organisation can buy twelve months of On the Move for people it is making redundant, as single-use codes (seats for other groups, such as a graduating cohort or an outplacement provider's clients, are agreed in a written quote on these same terms): $94.05 a seat, GST included (5% off the $99 list price), $89.10 from 50 seats and $79.20 from 200, and at least 5. Up to 1,000 seats can be bought online; for more, email us. Pay by card at any size, or by invoice (due in 20 days) for more than 50; an invoice still unpaid 30 days after it was sent is cancelled. Codes work for twelve months from payment and are not refundable once bought; a refund we agree to cancels the codes nobody has used, and if the payment is disputed with the bank, unused codes are paused until the dispute is settled. A code's twelve months start on the day it is used. If the person already pays for On the Move, their own plan ends with the time they have paid for and the seat starts then. If they are on Career and Timesheets, it ends when the seat starts, because the seat includes everything in it, and the part they paid for and had not used is credited to their account. The buyer is told how many codes have been used only once ten or more have been, in steps of five, and never who used one or anything about their job hunt. When a seat ends, the person keeps everything on the free plan and can carry on at $7.99 a month, month to month, GST included.
• Team seats. An organisation can buy Career and Timesheets for named people as Team seats.
  • Price: for a team bought from 9 October 2026, $9.99 a seat a month, or $95.88 a seat a year, GST included, with a tax invoice; 10% off from 50 seats ($8.99 or $86.29). A team bought before then keeps the price it bought at ($6.99 a month or $59.88 a year, 10% off from 50 seats) for as long as its subscription carries on; if that ever changes, its Owner is told at least 30 days before, as under renewals.
  • Seats: at least 3 and up to 1,000, one for each person in the team, the Owner, Admins and Approvers included.
  • Paying: a team bought from 9 October 2026 starts with 14 days free: the card is taken when the team is bought and first charged when the 14 days end, for the seats it has then, and cancelling before then costs nothing. Every seat works during the 14 days. A team bought before then was paid when bought. Seats renew until cancelled. A seat added takes effect at once and is charged for the rest of the period; a seat removed goes at the next renewal. A team can move between monthly and yearly: the new price applies from that day, the unused part of what was paid is taken off, and any credit left over is kept against later bills, not refunded.
  • The Owner: each team has one Owner, who pays. Only the Owner can change seats, the card or the subscription, close the team, or hand ownership to somebody else. The Owner and the team's Admins run the team, and Approvers approve hours when the team uses approvals.
  • Sharing: each person is invited by email and chooses whether to share their hours at that organisation with its managers, and can stop at any time. What managers see, and the copy kept when sharing stops, are set out on the privacy page. A manager can never change anybody's hours.
  • Approvals, rates, budgets, invoices and client sign-off: included in Team seats at no extra charge. Approvals are optional, and nobody can approve their own time; a change to approved hours sends them back for approval. The organisation sets its own rates, approval periods and budgets, and is responsible for them and for anything it bills from them. The value, GST, cost and margin we show are worked out from the hours shared with the team and the rates it entered; they are arithmetic, not tax or accounting advice. Invoices made in Team timesheets are the team's own documents, with its own numbers, GST number and bank details, which the team downloads and sends itself. We do not send invoices or sign-off links to anybody, collect payment, or check that an invoice is correct or meets tax rules: the team is responsible for its invoices, its GST and its records, and should download what it needs to keep before its team ends. A client sign-off link, if the organisation makes one, shows that client the billable hours (the approved ones, when the team uses approvals), their value and the names of the people who worked them, for up to 30 days. The payroll download, the public holiday and long-day marks, the usual-hours totals and the profit forecast are facts and arithmetic from the hours shared, not employment, pay or tax advice; a shared clock-in tablet, if the organisation turns one on, is the organisation's responsibility; and we never send a client view link, or any other client link, to anybody.
  • A person's own plan: a person who already pays for their own plan keeps it, and the seat starts when it ends.
  • A failed payment: the Owner is told, and the seats keep working for 7 days. After that every seat pauses until the organisation pays. Each person keeps everything they have recorded.
  • Earlier hours: an organisation can ask us to load its own earlier record of a member's hours, from a file it sends us, once that person has joined and chosen their place. Rows are matched to the person by email address, nothing is loaded for anybody who has not joined, and the file is not kept. Once loaded, the entries are the person's, to change or delete, and what managers see of them follows that person's sharing choices, as the privacy page sets out.
  • Closing a team: the team's Owner can close it on the Team page, with Close this team. The team keeps working until the end of the period already paid for, or of its 14 free days, and then ends; nobody is charged again. The Owner can change their mind any time before that day, with Keep the team open. When the team ends every seat ends, and each person keeps everything in their own account. The team keeps a read-only copy of the hours people shared with it, without their notes: its Owner, Admins and Approvers can download them for 90 days after the team ends, and then the team and everything it kept are deleted.
• Jobtracker Timesheets for Startups. A New Zealand startup can apply, on the startups page, for a free year of Team seats.
  • The offer: Team seats free for 12 months from the day the team starts, for up to 5 seats, with no card. Then, if the team's Owner adds a card, 50% off the standard Team seat price for the next 12 months, and the standard price after that. The standard price is the Team seat price for a team bought on the day the card is added.
  • Who it is for: a company incorporated in New Zealand less than 5 years before it applies, with fewer than 20 staff, that is not already a team customer of ours and has not had the offer before. One offer per company. Eligibility is the applicant's own declaration on the form. We may check the company on the NZBN register, and we decide each application.
  • What a seat includes: everything a Team seat includes, except AI. A seat in a team on this offer has no AI actions, and cannot buy an AI top-up, until the free year has ended and the team is paying; from then it has what every Team seat has. Somebody who pays for a plan of their own keeps that plan, its AI included, as under a person's own plan above.
  • More than 5 seats: seats beyond five are at the standard price, arranged with us by email, and a card is asked for then. While the half price runs, the number of seats is changed by writing to us.
  • When the free year ends: we email the team's Owner 30 days and 7 days before. Nothing is ever charged unless the Owner adds a card, having been shown the price. With no card by the last free day, every seat is paused: each person keeps their account and everything they have recorded, and the team's records can be downloaded for 90 days, after which the team is closed, as under closing a team above.
  • Ending the offer: we may end or change the offer for new applicants at any time. A free year we have approved is honoured in full.
  • Misuse: if what an application told us was untrue, the company has had the offer before under another name, or the seats are used by a different business, we may end the offer for that team, after 14 days' notice by email to its Owner. Each person still keeps their own account and everything they have recorded.
• Invite friends: give a month, get a month. Every account has its own invite link.
  • The offer: when somebody makes a new account from your link and first pays for a plan of their own (On the Move or Career and Timesheets, monthly or yearly), you each get one month's credit. Theirs is one month of the plan they bought (a yearly plan's price divided by twelve); yours is one month of the plan you pay for when it is applied.
  • What does not count: a free trial, an AI top-up, a Team seat or an employer seat, the $7.99 a month carry-on after an employer seat, Founding 100, a plan we gave for free, and an account you made for yourself. Each account can be invited by one person only, once.
  • If you are not paying yet: your month waits, and is applied when you first pay for a plan of your own.
  • How the credit is used: it goes on your account with our payment provider, Stripe, and comes off your next payment or payments for your plan before your card is charged.
  • Limit: up to 12 rewarded invitations in any twelve months. After that your link still works, but neither of you gets the month.
  • Credit, not cash: it cannot be exchanged for money, moved to another account or refunded, and it has no value if it is never used, including if the account is closed.
  • If the friend's payment is refunded: if the friend's first payment is refunded in full, both months are taken back, as far as each is still unused on its account. Nobody is ever charged for this. A month still waiting for the inviter's first payment is not given. This applies to friends who first pay on or after 5 October 2026.
  • Ending the offer: we may end or change it with notice, as set out in If we change these terms. Friends who already signed up from your link before then still earn you both the month.
• Koha: when a free-tier user lands a job, the celebration screen invites a voluntary one-time koha. It buys nothing, unlocks nothing, and is never required. It funds the free tier for the next person.

3. Your content is yours

Everything you enter (jobs, notes, contacts, salaries, documents) belongs to you. We claim no licence over it beyond what's technically required to show it back to you and run the features you use. You can export it all, or erase it all, whenever you like. Data handling is governed by the covenant, which is part of these terms and wins any conflict with them.

4. What we ask of you

• You must be 16 or older to create an account. If we learn that an account belongs to someone younger, we will close it and delete what it holds.
• One account, for you personally. Don't resell access or run other people's job hunts commercially through a personal account (career coaches: talk to us, we like you).
• Don't use jobtracker.co.nz to harass anyone, scrape or attack the service, or store content that's unlawful.
• AI-written drafts (follow-ups, thank-you notes, why-this-role answers, referee requests, cover letters and negotiation scripts) are drafts. Read before you send; you're the sender. The same goes for everything else the AI produces: a CV Match score, Tailor My CV's suggestions, your top 10 interview questions, a company brief and a CV read into the CV Builder. They are built only from what you have recorded and can still be wrong, so check them before you rely on them, and never let a tailored CV claim anything that is not true of you.
• The Save jobs button and the browser extension read a job ad on your own screen, when you press them, for your own job hunt. Use them for ads you are genuinely considering, and not to copy listings in bulk.

5. Honest limits

• Take-home pay figures are estimates. They use standard assumptions (tax code M, no secondary tax or ESCT) and the published rates for the tax year shown. Your payslip is the truth. Section 6 applies to them.
• Guides and articles are general information, not legal, financial or immigration advice. The scam check reduces risk; it can't eliminate it, and because AI reads the ad it can miss things or be wrong.
• We aim for the service to be fast and always on, and it's built modestly on purpose, but we can't promise zero downtime.
• To the extent New Zealand law allows, our total liability to you is capped at the greater of what you've paid us in the 12 months before the claim and NZ$100. We are not liable for indirect or consequential loss, or for lost profits, income or opportunity. Nothing here limits your rights under the Consumer Guarantees Act or the Fair Trading Act where they apply and can't be limited.

6. Tax figures are estimates only

Every tax, levy and deduction figure on jobtracker.co.nz is an estimate for planning only. It is not a tax return, a declaration, an assessment or a statement of what you owe or are owed. It is not tax, accounting, legal or financial advice, and we are not a tax agent.

• What this covers. Every figure, estimate, date and return estimate for any tax type: income tax, GST, provisional tax and terminal tax, PAYE and tax codes, ACC levies (the earners' levy and the work levy), student loan repayments, KiwiSaver contributions and the government contribution, schedular withholding tax, fringe benefit tax (FBT), and any other tax, levy or deduction. It covers them wherever they appear: in the app (Your Timesheets' Tax and GST page and its accountant pack, Reports, and invoices), in the calculators, in the take-home pay figures on jobs and offers, in our guides and articles, and in Ask Jo's answers. It also covers every export and copy of those figures: the PDF and CSV timesheet, the accountant pack, invoices, share links, and anything you send or copy from them.
• How the figures are worked out. Only from what you enter, and from the rates and thresholds Inland Revenue and ACC publish for the tax year shown beside each figure. They assume a 31 March balance date, the standard provisional tax option and dates, no other income unless you enter it, no extension of time through a tax agent, and the tax code and options you choose. If any of that doesn't fit you, the figure will be wrong. Rates and rules change, sometimes during a tax year, and we may not update a figure on the day they change.
• What can go wrong. A figure can be wrong because what you entered is incomplete or wrong, because a rate or rule has changed, because your situation isn't the one the figure assumes, or because of an error in our calculations. We check our calculations, but we don't promise that any figure is accurate, complete or up to date.
• Your tax is yours. You're responsible for your own returns, filings, payments and deadlines. You're also responsible for whether you register for GST, for your invoices meeting Inland Revenue's requirements for taxable supply information, and for keeping the records the law requires. We never file a return, make a payment or deal with Inland Revenue or ACC for you.
• Check before you rely on it. Before you file, pay or decide how much to put aside, check the figure in myIR, with ACC or with a qualified accountant. They have the final word.
• KiwiSaver. KiwiSaver figures are arithmetic from the contribution rate you choose. We don't recommend a contribution rate, fund or provider, and nothing on jobtracker.co.nz is financial advice under the Financial Markets Conduct Act 2013.
• Ask Jo and other AI answers. Answers about tax are general information and can be wrong. They aren't advice about your situation.
• No reliance. You agree that you don't rely on any tax, levy or deduction figure from jobtracker.co.nz as the amount you owe, are owed or should pay. To the extent New Zealand law allows, we are not liable for any tax, levy, use-of-money interest, late filing or late payment penalty, shortfall penalty, accountant's fee or other loss that comes from using one. In any case our liability is limited as section 5 sets out. Nothing here limits any right under the Consumer Guarantees Act or the Fair Trading Act that the law doesn't allow us to limit.
• If you use jobtracker.co.nz for a business. This applies if you use it for a business, including invoicing as a contractor, Team seats and employer seats. You agree that you acquire it in trade, that the Consumer Guarantees Act does not apply (section 43(2)), and that sections 9, 12A, 13 and 14(1) of the Fair Trading Act do not apply (section 5C). You also agree that it's fair and reasonable for you to be bound by this. An organisation with Team or employer seats is responsible for the figures it relies on and the invoices it sends. It will cover any claim made against us by its members or clients that arises from them.

7. If we end the service, or your account

• If we discontinue jobtracker.co.nz, or a paid plan. We may do this for any reason. If we do, we will give you at least 30 days' notice by email and on the site, and you can export everything you have stored for the whole of that time. Any fees you have paid in advance for time after the service ends will be refunded pro rata, meaning in proportion to the days of your plan you can no longer use, worked out by the day, to the card or account you paid with, within 30 days of the service ending. The same applies to anything else paid for and not yet used: an AI top-up is refunded in proportion to the actions left in it, and for employer seats, codes nobody has used are refunded in full and codes in use are refunded for the whole months remaining. Refunds include the GST you paid on them. Your data afterwards: everything you have stored stays available to export for 30 days after the service ends. After that it is deleted from our server, and from our backups as they age out, within the 90 days the privacy page describes. It is never sold or handed to anyone else as part of closing down.
• If we need to suspend or close an account. We may suspend or close an account that seriously or repeatedly breaks these terms, for example by attacking the service, reselling access or storing unlawful content. Except where the law or someone's safety prevents it, we will tell you why first, give you a fair chance to put it right, and let you export your data before an account is closed. If we close a paid account for any reason other than a breach of these terms, the unused time is refunded pro rata, as above.
• If you close your account. You can erase your account and everything in it at any time. Cancelling a paid plan stops the next renewal, and the plan keeps working until the end of the time already paid for; apart from the 14-day refund of a first payment, time already paid for is not refunded when you choose to leave, unless the Consumer Guarantees Act says otherwise.

8. Housekeeping

• These terms are governed by New Zealand law, and NZ courts have jurisdiction.
• If we change these terms or our privacy page, we'll say so plainly on the page itself, with the date and the changes at the top, and in the app. No silent edits. A change that takes something away from you or costs you more is also emailed to you, if it affects you, and takes effect no sooner than 30 days after we email you, or from when you accept it, if you accept it sooner (for example in the app); if you pay for a plan you can cancel before then and never be charged under the new terms. A change that only adds to what you get, or makes the wording clearer without changing what it means, takes effect when it is published and is not emailed.
