Timesheets for cleaning and property teams across many sites

Sites as projects, split shifts as they happen

Set up each site or contract as a project, with tasks for the work there: floors and bathrooms, a window round, a periodic carpet clean, a maintenance call-out at a unit. They appear in everyone's picker.

People log each stretch of work as its own entry, so a 5am start at one building and a 6pm start at another sit on the same day without the gap between them counting. Copy last week fills a regular run in one press.

Give a contract a budget in hours and the Team page highlights it from 80%, so a site that takes longer than you priced shows before the month ends. The Team page also lists anyone who has not logged this week.

The rules that come up in cleaning

Short shifts still have breaks. A work period of 2 to 4 hours comes with one paid 10-minute rest break, and it stays in the hours (Employment Relations Act 2000, section 69ZD).

Travel between sites. Travel the work requires during a shift generally counts as work time. Our article on travel time explains when.

Public holidays. Hours worked on one are paid at least time and a half, and working one that would otherwise be a working day earns an alternative holiday (Holidays Act 2003, sections 50 and 56). The day's hours are on the record, by site.

When a contract changes hands. Cleaners are among the employees the Employment Relations Act protects when a cleaning contract moves to another company (Part 6A and Schedule 1A). They can choose to transfer to the new contractor on the same terms, and their employment counts as continuous. If someone leaves your team, you keep a read-only copy of the hours they shared, without notes, for seven years from each entry while your team is open.

Questions

Can I check someone was at the site?

No. There is no GPS, no geofencing and no QR check-in. You see the site and hours each person logs and shares, and every change after a week is sent shows with its date.

What if a cleaner forgets to log a shift?

The Team page lists who has not logged this week, and they can add the entry later. Employment New Zealand is clear that a missing or wrong timesheet does not stop someone being paid for the work.

Do casual staff need a seat all year?

Seats are monthly or yearly. You can add seats at any time, charged at once, and remove them at renewal, and a freed seat goes to the next person waiting.

What does a team of twenty cost?

Twenty seats are $139.80 a month, or $1,197.60 a year, GST included. From 50 seats, each seat is 10% less.
