Free timesheet templates for NZ employers

What each column is for

  • Start and finish, and a second start and finish. The second pair is for a split shift, such as an early clean and an evening one, so both stretches land on the same day.
  • Unpaid meal break, in minutes. It comes off the hours. A paid rest break stays in, so there is a column to note how many were taken, which Employment New Zealand calls good practice to record.
  • Hours worked. Worked out to two decimal places, ready to multiply by a rate. A shift past midnight counts correctly.
  • Public holiday. Answer Yes and the day's hours appear in their own column. Hours worked on a public holiday are paid at least time and a half, and working one that would otherwise be a working day earns an alternative holiday (Holidays Act 2003, sections 50 and 56).
  • Site, job or project, and notes. Where the work was done and anything payroll should know.
  • Signatures. The employee and the manager each sign and date the sheet, so a disagreement about hours is settled the week it happens, not a year later.

Questions

Do I need an account to download them?

No. They are free files, with no account and no email address asked for. Use them, change them and share them.

Are timesheets a legal requirement in New Zealand?

The hours worked each day in each pay period are. Employers must keep them in the wages and time record under section 130 of the Employment Relations Act 2000. A timesheet is the usual way to collect them, and our wage and time records checklist lists the rest of the record.

How long should I keep completed timesheets?

At least 6 years. An employee can ask for any part of their wages and time record from the last 6 years, and Employment New Zealand says to keep records for 6 years, even after someone leaves.

Are paid rest breaks taken off the hours?

No. A paid rest break stays in the hours worked. Only an unpaid meal break comes off, which is why the template has a column for it in minutes.

What about a shift that runs past midnight?

The Excel templates work it out: a start of 22:00 and a finish of 6:00 is 8 hours. Put the hours on the day the shift started.
