Clients and stages, set up once

Set up each client or engagement as a project, and the stages you fee by as its tasks: concept design, developed design and consent drawings, or year-end accounts, tax returns and advisory. They appear in everyone's picker.

Give a project a budget in hours and the Team page highlights it from 80%, so a fixed fee that is running hot shows while there is still time to talk to the client about scope.

People log against the stage, by the day or with a timer they start when they open the file. Anyone can add a project of their own, such as study for a professional exam, and the Team page marks it as theirs, so it never lands on a client.

Salaried staff and long weeks

Most practices pay salaries, and a salary does not take anyone out of the hours record. Under section 130 of the Employment Relations Act 2000, a salaried person's usual hours can stand in for a normal week, but you must record any extra hours needed to show you met minimum entitlements, such as the minimum wage for every hour worked (sections 130(1C) and (1D), and 4B).

A graduate on a modest salary working long weeks through a deadline is where that check matters. Hours logged by the day give you the answer instead of a guess, and the wage and time records checklist lists the rest of what the law asks you to keep.

Questions

What about the consultants and contractors we use?

Seats are built for your own staff. Most consultants and contractors are better keeping their own record in Your Timesheets and sending you an invoice or a share link. One can still take a seat, and then shares only the hours they log for you; their other clients, their rates and their invoices stay private.

Can we see charge-out rates or fees?

No. Team timesheets never shows anyone's pay or rates. You see hours, and apply your own rates to the CSV.

Is there a timer?

Yes. Each person can start a timer on a project and stop it from any device they are signed in on. It keeps counting if the phone locks.

What does a practice of twelve cost?

Twelve seats are $83.88 a month, or $718.56 a year, GST included. Every manager who sees the Team page takes a seat too.

Every client's hours on one page

Buy at least 3 seats, add your clients as projects with budgets, and invite your people by email from the Team page. Each person chooses whether to share their hours with you.
